How to write an inquiry that gets a useful reply
A useful inquiry names the assembly category in words, states whether new, remanufactured or used supply is wanted, gives the quantity and the target date, and adds packing, documentation or after-sales requirements. Share your quantity and target date to get MOQ and lead time for your order. An inquiry that contains those facts can be quoted; an inquiry that contains only a general request for a price list will receive questions in return, and the order will take longer for no benefit.
If you are buying for a programme, say whether the requirement repeats. If you are stocking for resale, say whether the order is for stock or for a named customer. If you are replacing a single unit, say whether after-sales technical consultation or fault analysis is likely to be needed. Each of those sentences changes the shape of the quotation, and each is cheaper to include in the first message than to add after a quotation has been prepared on the wrong assumption.
What happens after you inquire
After an inquiry is received, the supplier confirms the category and supply form, prepares a quotation for the stated quantity and timing, and answers warranty and certificate questions for the units actually quoted. Production tracking applies to orders in production, packing and logistics are arranged to the buyer's requirements, and after-sales technical consultation and fault analysis are available after delivery. Warranty is stated as at least 1 year, following company materials, and certificates are available upon request. Both should be asked about for the specific units when requesting a quotation. A buyer who needs a warranty or certificate statement for a customer, a tender or an import file should include that requirement in the first inquiry, so that the quotation carries the correct statement from the start.
